The Brief
Volaris Group — a global technology company based in North America — came to us looking for a local Copenhagen production partner capable of handling their biggest company event ever hosted. The brief covered everything: multi-camera keynote and session coverage, daily social highlight videos, overnight interview edits, photography for keynote pre-roll, drone footage of Bella Center, corporate headshots, and evening event coverage across the city.
Scale: 1,550+ attendees. Duration: 5 days, April 26–30. Venues: Bella Center main conference centre, Tivoli Gardens, Carlsberg Brewery, and Øksnehallen in the meatpacking district for the closing party.
The challenge was not just the scale — it was the pace. Every day had to close with usable, published content. There was no buffer.
Pre-Production — Planning a 5-Day Production
Productions of this scale don’t succeed on shoot day. They succeed in the weeks before.
Pre-production for Volaris Quadrants 2026 covered:
- Full run-of-show review for all five days — sessions, breaks, transfers, evening events
- Crew briefings and role assignments across all positions
- Equipment planning — Sony FX3, A7IV, multi-camera interview configuration, drone kit, GoPro timelapses, wireless audio
- Drone permit application for Bella Center — a restricted airspace zone requiring a special operational authorisation beyond the standard Open Category A1 licence
- Interview room setup specification — dedicated room with 2-camera configuration, professional backdrop, LED lighting panel
- Daily delivery schedule — what gets delivered each evening, what gets delivered overnight, what goes live the following morning
- Coordination with Volaris event operations team on access, venue layout and schedule changes
Getting the drone permit for Bella Center was one of the more complex pre-production steps. The venue sits within a category that requires additional documentation and operational planning beyond a standard licence. We handled the full permit process — Volaris didn’t need to touch it.
The Crew
Five people, five days, full commitment:
- Rolands Varsbergs — Creative Director, overall production lead
- Ako — Director of Photography, primary camera
- Mattia — Videographer, secondary camera and interview room
- Lukas — Videographer and photographer, floor coverage and stills
- Yurii — Live Editor, on-site post-production throughout the week
Having a live editor on-site was central to the same-day delivery capability. Yurii was editing while the event was still running — building the social highlight each afternoon so it was ready for approval and posting by the time the evening session ended.

What We Covered Each Day
Every day had the same core structure with different content priorities:
- Morning — crew on site before attendees arrived. Timelapse rigs positioned. Interview room ready.
- Main sessions — multi-camera keynote coverage, breakout session filming, floor photography
- Interview room — back-to-back filmed interviews with speakers, executives and team members throughout the day
- Afternoon — live editor building the daily social highlight from morning and midday footage
- Evening events — crew moved to off-site venues: Tivoli Gardens, Carlsberg Brewery, Øksnehallen
- Same-night photography selects — delivered to Volaris team by midnight for keynote pre-roll display the following morning
- Overnight edits — interview edits and secondary cutdowns completed overnight for review
The Same-Day Social Workflow
One of the most operationally demanding parts of the brief was the same-day social highlight — a 30–40 second video capturing the best of each day, delivered in time for Volaris to post on LinkedIn that evening while the event was still live.
The workflow looked like this:
- Footage offloaded continuously throughout the day to Yurii’s edit station on-site
- Live edit built in Premiere — selects pulled, rough cut assembled during afternoon sessions
- Music, captions and colour applied as the evening session ran
- First cut shared with Volaris team for approval before dinner
- Final file exported and delivered while the evening event was still running
Five consecutive days. Five same-day highlights. All published while the conference was still happening.
Video filmed on Day 0 (Sunday), a night before the opening keynote where the video was shown next morning on the big screen as the Quadrants week started.
Drone Coverage — Special Permit for Bella Center
Bella Center sits in a zone that requires operational authorisation beyond the standard Open Category licence. We applied for and received a specific permit for aerial filming over and around the venue and event grounds.
The drone shoot covered aerial reveals of Bella Center, the event exterior, surrounding grounds and approach shots used in the final recap film. This added a cinematic layer to the production that no ground-based setup could replicate.
We handled the full permit process as part of pre-production — date, location, operational plan, insurance documentation. Volaris had nothing to organise on their end.
Evening Events — Across the City
Quadrants 2026 wasn’t just a conference. Each evening moved to a different Copenhagen venue:
- Tivoli Gardens — exclusive evening event in one of Copenhagen’s most iconic locations
- Carlsberg Brewery — dinner and networking in the historic brewery complex
- Øksnehallen, Meatpacking District — closing party for the full 1,550+ delegate group
The crew moved directly from Bella Center to each evening venue — equipment packed, transported and set up in transition time. Coverage continued until the last guests left.
Final Deliverables
- 5 × same-day social highlight videos (30–40 seconds each) — delivered daily
- 2 × overnight interview edits — turned around overnight during the event week
- 1 × CEO farewell message — filmed and edited on location, delivered same day
